How Projects Are Defined

A project is defined by its subject matter and the deliverables within that subject.

Example: If you submit a project to create a video campaign for an electric company about their history, that entire campaign—regardless of the number of videos or length—falls under one project because it addresses a single subject.

New Subject = New Project: When a new subject is introduced, this constitutes a separate project. We maintain discretion in determining when subject matter has shifted enough to warrant a new project designation.

Monthly Capacity Structure

Three Active Projects Per Month

You may maintain up to three active projects at any given time during your monthly billing cycle. Each project includes unlimited deliverables and unlimited length within its defined scope.

Understanding "Active" Status

Active projects are those currently:

  • In our production queue awaiting work

  • Being actively worked on by our team

Projects that have been delivered to you for review are not counted as active. This means you can have three projects in various stages of production while reviewing completed work simultaneously.

Beyond Three Projects

Additional project submissions beyond your three active slots will be queued automatically and will begin production in the following month when slots become available.

No Carryover

Unused project capacity does not roll over. Your three-project allowance resets at the start of each billing cycle.

Additional Projects Beyond Your Monthly Allowance

When You Need More Than Three Projects

If you've exhausted your three active project slots but need additional work completed within the same month, you can add projects for a discounted rate as an active subscriber.

Subscriber Pricing for Additional Projects

Additional projects are quoted at half of our standard day rate for your business type, multiplied by the number of days required based on the project's scope.

Pricing Example

For solo practitioners and small businesses (with annual revenue under $1 million):

  • Standard day rate: $450.00

  • Subscriber additional project rate: $225.00 per day

  • If the project scope requires 8 days: $225.00 × 8 = $1,800.00

How Additional Projects Are Scheduled

Additional paid projects are added to your production queue alongside your included subscription projects. They follow the same workflow, revision policies, and quality standards as your subscription-included projects.

Production Workflow & Revision Policy

Sequential Production Approach

We dedicate focused attention to one project at a time, ensuring quality and efficiency. When one project moves to your review, we immediately begin work on the next queued project.

Unlimited Revisions While Subscribed

There is no limit to revision requests on any project as long as your subscription remains active. Revisions are a natural part of the creative process, and we're committed to achieving your vision.

Communicating Revision Priority

When you're ready for us to implement revisions, you must indicate this by:

  • Leaving a comment on our review platform stating the project is ready for revisions

  • Commenting in the project card

  • Sending an email notification

Revision Takes Priority

We always prioritize projects with approved revisions over starting new projects. If you have multiple projects and request priority changes, understand that shuffling priorities may delay other active projects in your queue.

Preparing Your Project Submission

Assets Must Be Ready Before Submission

All project elements must be prepared and available at the time of submission, including:

  • All footage and raw video files

  • Audio files and voiceover recordings

  • Graphics, logos, and branding materials

  • Scripts, shot lists, or creative direction documents

  • Any other materials needed for production

How to Deliver Media

Choose the method that works best for your workflow:

  • Upload through our designated platform

  • Mail a physical hard drive to our facility

  • Schedule an in-person hard drive transfer (available for clients in Eugene, Oregon)

When Footage Presents Technical Issues

If submitted footage is unusable due to technical quality issues, we'll discuss options and solutions with you. We may use stock b-roll to achieve your creative vision. If you determine stock footage doesn't align with your vision, you're responsible for providing suitable replacement footage.

Understanding Project Scope & Timeline

What Determines Scope

Every project's scope is evaluated based on four key factors:

  1. Total amount of footage submitted

  2. Production services required (editing, color, motion graphics, VFX, etc.)

  3. Number of deliverables requested

  4. Length of each deliverable

Initial Timeline Estimates

Upon accepting your project, we'll provide a customized turnaround estimate based on the scope assessment. Projects with extensive requirements may need 30 or more days under our standard workflow.

When Scope Changes During Production

Project scope isn't locked permanently. If parameters change during production, your timeline will adjust accordingly. Expect turnaround adjustments when:

  • You submit additional footage totaling 10GB or more

  • New creative direction requires services not in the original scope

  • Structural changes go beyond simple b-roll replacement, such as adding new interviews, altering interview timing or versions, or modifying already-completed color correction, soundscaping, audio mixing, motion graphics, or visual effects

Expedited Production (Rush Service)

When You Need It Faster

Rush service is available during any project's active production phase. This service allows you to reduce the standard turnaround timeline when deadlines are tight.

How Rush Pricing Works

Rush fees are calculated as: [Our day rate for your business type] × [Number of days you want to reduce from quoted turnaround]

Rush Project Priority

When you approve a rush project, it receives absolute priority over all other work. We will not begin or continue work on any other project until your rush project is 100% complete and approved by you.

Approval & Feasibility

Not all projects can be rushed based on scope, technical requirements, or creative complexity. If your rush request cannot be accomplished within the desired timeframe, we'll notify you immediately. We only invoice for rush projects we believe we can successfully complete.

Rush Service Commitment

Your payment for rush service purchases our complete dedication and prioritization of all available resources to your project. The creative and technical nature of video editing involves variables beyond our control. If we exceed the rushed timeline, that risk falls on us, not you. However, timeline overruns do not entitle you to refunds, as you're paying for priority and dedicated effort rather than a guaranteed delivery time.

Payment Structure & Terms

Recurring Monthly Billing

You'll receive a recurring invoice due upon receipt at the start of each billing cycle.

Payment Window

Payment must be received within 30 days of the invoice date.

Consequences of Late Payment

If payment is not received within 30 days, your subscription will automatically cancel with the following penalties:

  • A 9% fee applied to the outstanding month

  • Reversal of any commitment discounts that were applied during the missed payment period

Subscription Management

Taking a Pause

You may pause your subscription for one consecutive month at any time. To pause again, you must maintain an active, paid subscription for at least two consecutive months before another pause option becomes available.

Canceling Your Subscription

You may cancel at any time with the following conditions:

Immediate Service Cessation: All production services stop immediately upon cancellation.

30-Day Grace Period for Reinstatement: You have 30 days from your cancellation date to renew your subscription. If you renew within this window, you'll receive a credit for any unused days from your previous subscription period.

Credit Forfeiture: If you do not renew within 30 days, all remaining day credits are permanently forfeited.

Company Vacation & Holiday Schedule

Advance Notice

You'll receive 30 days notice before any company vacation period. Our vacation closures never exceed two consecutive weeks.

Project Submissions During Closures

You may submit projects during company vacations and federal holidays, but these projects will be paused until we return.

Projects Submitted Before Vacations

If you submit a project one week or less before a scheduled vacation, it will be queued to begin after we return. However, any project already in active production will continue to receive work up until the vacation period starts.

Pricing Reflects Time Off

Your monthly rate already includes deductions accounting for up to four weeks of annual company vacation and all U.S. federal holidays. You only pay for days we're actually available to work.

Stock Media Usage & Licensing

Unlimited Library Access

Your subscription includes unlimited selection from our stock footage and music library subscriptions for any project we're producing for you.

License Ownership

Upon project completion, licenses for stock assets used in your project are issued to your company or your client's company.

License Restrictions

Stock licenses are project-specific and cannot be reused:

  • You may not use licensed stock assets in other projects, whether similar or unrelated

  • You may not request stock assets for projects we are not actively producing

  • If you cancel your subscription, you cannot reissue or transfer licenses for stock items to new projects we're not involved with

Premium Stock Content

Stock assets requiring individual per-clip purchases are not included in your subscription and will be quoted separately if required for your project.

Data Storage & Backup Responsibilities

Our Storage Commitment

We store complete project files for 30 days following project completion (defined as approved and delivered).

Post-30-Day Retention

After 30 days, we maintain backups only of the media assets necessary to preserve the finished project. All unused footage, cut material, and alternate versions are purged from our systems.

Your Backup Responsibility

You are solely responsible for backing up your original source media. We do not provide backup services for client-supplied footage, audio, or assets.

Our Redundancy Coverage

We maintain redundancy and backup systems exclusively for our project files, not for your source media. In the event of catastrophic data failure on our end, you must be able to provide us with original media files so we can resume production.

Project Acceptance & Refusal Rights

Standard Project Acceptance

Under normal circumstances, we accept all project submissions that fall within the scope of our services.

Right to Refuse

We reserve the right to refuse any project we determine to be unethical, manipulative, or otherwise inappropriate for our business values.

No Refund for Refused Projects

If we refuse a project submission, you will not receive a refund or credit for that submission. Your subscription continues, and you may submit alternative projects.

Intellectual Property & Usage Rights

You Own Your Completed Work

Upon project completion, you own the finished video and all elements within it, with one exception: stock media assets.

Stock Media Ownership

For stock footage and music used in your projects:

  • You receive the license to use these assets in the specific project they were licensed for

  • The license is issued to your company or your client's company

  • These assets remain the property of the original copyright holders

  • Licenses cannot be transferred or reused in other projects

Force Majeure Clause

We cannot be held liable for delays or inability to perform services due to circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters, severe weather, or acts of God

  • Pandemics, epidemics, or public health emergencies

  • Government actions, regulations, or mandates

  • Power failures, internet outages, or infrastructure failures

  • Equipment failures or technology malfunctions

  • Labor disputes or supply chain disruptions

  • Any other unforeseeable circumstances that prevent normal business operations

In force majeure situations, we will make reasonable efforts to resume services as quickly as possible and maintain communication about any significant delays. No refunds, credits, or penalty fees will be issued for delays caused by force majeure events.
