Project Structure & Monthly Capacity

What exactly qualifies as a single project?

Think of a project as everything tied to one central topic or subject. Creating a product launch campaign with a main video, social media cutdowns, and promotional clips would all fall under one project since they share the same subject matter. If you later want videos about a completely different topic—like employee testimonials—that becomes a separate project. We evaluate subject matter to make these determinations.

I'm unclear whether my request is a new project or an extension of an existing one. What should I do?

Just ask us before submitting. We'll evaluate whether it fits naturally within your existing project scope or represents new subject matter requiring a separate project slot. We want to be fair and reasonable in these assessments.

Is there truly no limit to how many videos I can get from one project?

Correct. As long as all deliverables relate to the same subject, you can request as many versions, lengths, and formats as you need within that single project slot. One project about your annual conference could yield dozens of different videos.

I didn't use all three project slots this month. Do those extras carry forward?

Unfortunately, no. Your three-project capacity refreshes each billing cycle and unused slots don't accumulate.

What are my options if I need more than three projects in one month?

We offer additional projects at a discounted subscriber rate—50% of our standard day rate for your business category, calculated by the estimated production days required. A small business under $1 million in annual revenue would pay $225 per day (half of our $450 standard rate) for these extra projects.

Help me understand what makes a project "active" versus just submitted.

Active status means we're either preparing to work on it (in queue) or currently producing it. Once we send you a completed version for review, that project exits active status, opening up space for another project to become active.

Production Process & Making Changes

Is it true you only handle one project at a time?

Yes. Sequential production allows us to give undivided attention to each project. The moment we send something to you for review, we pick up the next project in line.

What's the limit on how many times I can request changes?

There isn't one. Revisions are unlimited throughout your active subscription. We'll keep refining until you're satisfied.

What's the procedure for requesting changes to a delivered project?

Signal that you're ready for revision implementation by commenting on our review platform, updating the project card, or sending us an email. This lets us know to prioritize that project for revision work.

If I'm juggling multiple projects, how do I control which one you work on first?

Communicate your priority preferences to us. We default to working on revision requests before starting new projects. Be aware that reprioritizing can affect timelines for your other active work.

Should I bundle all my feedback at once or send it as I think of things?

Either works, though consolidated feedback tends to be more efficient. Just know that each feedback submission puts that project back in the revision queue where we'll address everything systematically.

Timelines & Project Completion

What determines how long my project will take?

We assess four factors: total footage volume, which services you need, how many deliverables you want, and the length of those deliverables. Simple projects might wrap in days; comprehensive productions could take 30 days or more. Every project gets an individual timeline estimate.

I just sent you 50GB of additional footage mid-project. How does that affect my timeline?

Any footage addition of 10GB or more will extend the original timeline estimate. We'll recalculate and communicate the revised schedule as soon as we evaluate the additional material.

Will you commit to a hard deadline?

Standard service includes timeline estimates rather than guaranteed deadlines. If you need absolute certainty on timing, our rush service can accommodate hard deadlines with priority treatment.

How does rush service differ from your standard workflow?

Rush service places your project at the front of the line, ahead of everything else. We allocate all available resources exclusively to your project until it's completely finished and approved. This comes at a premium—calculated as half our day rate for your business type, times the number of days you want removed from the standard timeline.

If I pay for rush, am I guaranteed to receive my project by that date?

You're paying for absolute priority and our full dedication, not a guarantee. The creative process and technology involve unpredictable variables. If we overshoot the rushed timeline, we absorb that risk—but the rush fee is non-refundable since it purchases priority rather than a promise.

Managing Media & Technical Requirements

Are there restrictions on what video formats you accept?

We work with virtually all standard formats. If you're working with something unusual or have technical concerns, contact us before submitting.

What's the best way to get my media files to you?

Three options: upload through our designated platform, ship us a physical hard drive, or—if you're local to Eugene, Oregon—arrange an in-person drive transfer.

My footage has quality problems. What happens then?

We'll walk through potential solutions together. Sometimes stock b-roll can bridge the gap. If that doesn't align with your vision, you'll need to supply alternative footage that meets production standards.

What's your file retention policy after project completion?

Full project files remain accessible for 30 days post-delivery. After that window, we archive only the essential media required to preserve the finished project itself. Everything else—outtakes, alternate cuts, unused footage—gets deleted.

Are you backing up my raw footage and source materials?

No. Source media backup is your responsibility. We maintain redundancy systems exclusively for our production files. If we experience data loss, you'll need to reprovide original materials so we can continue where we left off.

If I cancel, what happens to all my project files?

You'll have 30 days to retrieve anything you need. After that period, our standard retention and deletion procedures apply.

Stock Media Libraries & Licensing

Is there a cap on how much stock content I can use?

No usage limits on our library subscriptions. However, premium assets requiring individual clip purchases fall outside the subscription and would be quoted separately.

After the project is finished, who holds the licenses for stock assets?

The licenses transfer to you—specifically to your company or your client's company—for that particular project.

Can I repurpose stock elements from one completed project in future projects?

No. Each license is project-specific and restricts reuse in other work, regardless of similarity.

Am I able to request stock media for projects you're not producing?

Stock access is exclusively for active production work we're handling for you. You cannot request stock for outside projects.

How do stock licenses work after subscription cancellation?

You retain existing licenses for completed projects permanently. However, you cannot request new licenses or transfer existing licenses to projects we're not producing after cancellation.

Subscription Flexibility & Account Management

Is there a way to temporarily pause my subscription?

Yes. You receive one complimentary one-month pause. Additional pauses require maintaining an active subscription for at least two consecutive months between pause periods.

What are the consequences of canceling my subscription?

Immediate cessation of all production work. You'll have 30 days to reactivate and reclaim credit for any unused days from your final billing period. Beyond 30 days, those day credits vanish permanently.

What happens if I don't pay my invoice on time?

Invoices not paid within 30 days trigger automatic cancellation. You'll incur a 9% penalty on the outstanding balance, and any promotional or commitment discounts applied during that period get reversed.

Is there a way to reduce my subscription to fewer than three projects monthly?

The subscription structure is fixed at three projects per month. If you consistently need less capacity, consider using the pause feature strategically during lighter periods.

Holiday Scheduling & Company Closures

How do you handle my projects during company vacation periods?

New submissions during vacations pause automatically and resume upon our return. Projects already in production continue receiving work right up until the closure begins.

How far in advance will I know about upcoming closures?

You'll always receive 30 days notice before any company vacation period.

Am I paying for days when you're closed?

Your monthly rate has already been adjusted downward to account for up to four weeks of company vacation and all federal holidays annually. You only pay for available working days.

What's the maximum consecutive time your company will be closed?

Never more than two weeks at a stretch.

Pricing Structure & Billing

How did you arrive at the $2,468 monthly price?

This rate has been calculated based on our day-rate across the service days we’re capable of providing each month, reduced to reflect all company vacation days and federal holidays, meaning you pay exclusively for days when we're available to work on your projects.

Are there price breaks for longer subscription commitments?

We do offer commitment-based pricing for annual or extended contracts. Reach out to discuss long-term subscription options.

What forms of payment do you process?

We issue recurring invoices payable upon receipt. Contact us directly to discuss accepted payment methods.

Is there any scenario where I'd receive a refund?

The subscription operates month-to-month without refunds. You're free to cancel anytime, which stops service immediately.

Onboarding & First Steps

How do I get my first project started?

Gather all necessary components—footage, audio files, graphics, scripts, branding materials—and submit everything through our platform. Include detailed creative direction outlining your vision.

What information makes for a successful project submission?

Provide context on your goals, target audience, desired emotional tone, specific deliverable requirements, brand guidelines, and any time sensitivity or deadline considerations.

Once I submit, how quickly does production begin?

If you have available project capacity, production starts as soon as we receive your complete submission with all required assets. Timeline depends on scope complexity.

Can I schedule projects for future production dates?

Absolutely. Submit projects whenever convenient for you. They'll be queued according to your available capacity and our production schedule.
